St George’s University Hospital is the largest healthcare provider in South West London, with internal departments including Estates, Facilities, Capital Projects, and Medical Engineering relying on contractors every day.

Managing those contractors was a growing problem. A manual, triplicate paper system made it impossible to quickly establish who was on site, what they were there to do, or to retrospectively review that information. Different disciplines also risked carrying out simultaneous work without awareness of each other.

With dedicated Permit to Work software, St George’s built a portfolio of contractors and automated the parameters required to keep operations safe and compliant.

A single system for every contractor on site

Each internal department manages its own contractors through a single platform. Before a permit is issued, contractors must have the right insurances, Risk Assessments and Method Statements (RAMS), and qualifications in place.

“If a company doesn’t have the right information or submissions then no permit can be issued, and it helps us liaise back with the contractor to make sure they have all the right information submitted.”

St George’s is now implementing Sypol COSHH risk assessment software to manage chemicals on site — mirroring the success of Permit to Work.

“The majority of our contractors are using chemicals, from window cleaners through to construction workers. We need to make sure that hazardous chemicals are not interacting and having an adverse effect on the environment and the rest of the hospital.”
